How to choose a school photography company
Choosing a school photography company is about far more than the photos. The right partner makes photo day effortless for your office, treats families fairly, and supports your school. The wrong one creates work, complaints and stress. Here is what to look for – and the questions to ask before you book.
Look beyond the portraits
Portrait quality matters, of course – look for natural, well-lit images rather than a production-line feel. But the experience around the photos matters just as much. Ask how much work the company takes off your office, and how they treat parents.
Ask about admin and parent communication
A good photographer plans the day with you and provides ready-to-send parent communication. Ask: who handles the parent messaging, the sibling organisation and the timetable? If the answer is 'the school', that is work landing on your team.
Check how siblings are handled
Siblings are a common source of complaints. Ask how requests are collected, how the list is checked, and what happens if a sibling is absent. You want a clear, reliable system – not a scramble on the morning.
Understand ordering and pricing
Online ordering should be simple and secure, with no cash for your office to handle. And pricing should be fair: premium quality does not have to mean families being priced out. Ask to see the full range of packages.
Confirm retakes, turnaround and delivery
Ask how absentees and retakes are handled, how long orders take, and how they are delivered. Reliable turnaround and a clear retake process are signs of a company that has its operations right.
Ask about safeguarding
Safeguarding is non-negotiable. Check DBS arrangements, how consent and data are handled, and whether galleries are kept private and secure.
Does the company give anything back?
Increasingly, schools want a photography partner whose values match their own. Ask whether the company gives anything back to schools – through donations, resources or community projects – rather than only taking commission.
