How to plan a smooth school photo day
School photo day has a reputation for being stressful – but it does not have to be. With a little planning, your office can run a calm, efficient day that barely touches lessons and leaves families delighted. Here is how to plan a smooth school photo day from start to finish.
Book early and confirm the essentials
Book your date as early as you can, especially for the autumn term. Confirm pupil numbers, the photos you need (individuals, siblings, classes, staff) and any key constraints up front, so your photographer can plan around them.
Build the timetable around your school day
Work with your photographer to build a timetable that fits around lunch, PE, assemblies and playtimes. A good schedule keeps classes moving in a sensible order and minimises the time pupils spend away from lessons.
Sort siblings in advance
Siblings cause more photo-day stress than anything else. Collect sibling requests from parents early, check the list before the day, and make sure your photographer has built siblings into the schedule – especially where children are in different classes or year groups.
Communicate clearly with parents
Tell parents what to expect well ahead of the day: the date, what is being photographed, how to request sibling photos, and how ordering will work afterwards. Clear communication upfront dramatically reduces questions on the day and after it.
Prepare younger pupils

Plan for absentees and retakes
Some children will always be away on the day. Agree in advance how absentees will be noted and when a retake session can happen, so no child misses out on their portrait.

Online ordering removes the burden of collecting cash and forms. Make sure parents know how and when to order, and what the deadline is, so the office is not left chasing.
