Guide for School Offices
How to organise sibling photos without stressing the office team
Ask any school office what the hardest part of photo day is, and sibling photos will be near the top of the list. Last-minute requests, missing children and confused lists turn a lovely idea into a logistical headache. Here is how to organise sibling photos smoothly – so no family is missed and your office stays calm.
Collect requests early, in one place
The single biggest fix is to gather sibling requests well before the day, through one clear channel. A simple form or reply slip sent to parents in advance gives you a definitive list to work from, rather than fielding requests on the morning itself.
Check the list before photo day
Cross-check the sibling list against your roll before the day, noting which children are in which classes. This is where most missed siblings are caught – long before anyone picks up a camera.
Account for different classes and year groups
Siblings are rarely in the same room. Make sure your photographer knows which children belong together and can call them at the right moment, so families with children across nursery, infants and juniors are photographed together.
Plan for absent siblings
If one sibling is away, decide in advance what happens – usually, the group is photographed at the retake session instead. Agreeing this upfront avoids disappointment and last-minute decisions.
Use ready-made parent wording
Clear parent communication saves enormous time. A short, friendly message explaining how and when to request sibling photos – ideally provided by your photographer – cuts down questions and confusion.
Avoid the common mistakes
- Taking requests on the morning of photo day
- Relying on memory rather than a checked list
- Forgetting siblings in different year groups
- Not having a plan for absent children
